If you’re someone who’s constantly flooded with fresh ideas for your brand—new ways to improve, evolve, and refine—then you know how easy it is to feel like you’re always chasing your tail.

One idea lands, and before you’ve had a chance to act on it, another arrives. It’s a cycle that can feel exhausting, but let’s flip the perspective: how incredible is it to be this inspired?

That hunger for improvement is a gift, not a burden. The challenge is learning how to channel it without getting overwhelmed.

Here’s how we do it.

Step 1: Empty Your Mind Onto Paper

Start by asking yourself:

“What are all the tasks I do in this business—big or small, daily, weekly, monthly, or even quarterly?”

Write everything down.

No filtering, no overthinking—just list every action, from answering emails to planning content to reviewing finances.

Step 2: Categorise Your Workflow

Now, create four columns and sort each task into one of these categories:

DAILYS – The essential tasks that keep the business running every single day.

WEEKLYS – Things that don’t need daily attention but are still key to growth.

MONTHLYS – Bigger-picture projects that require dedicated time but aren’t urgent.

QUARTERLYS – Strategic moves, deep-dive planning, or long-term improvements.

This method provides instant clarity on what truly needs your attention and when.

Step 3: Store It Where You’ll See It

We keep this list in the Notes app on our phones and document it in Notion for easy access. This way, no matter where we are, if a free moment appears, we know exactly what to tackle next—no decision fatigue, no wasted time figuring out what’s most important.

Step 4: Master the Dailys to Free Up More Time

Each morning, we challenge ourselves to complete daily tasks better and faster than the day before.

The goal? To create more space in the workday for weekly and monthly improvements.

If you’re an entrepreneur balancing work between other commitments, this method is a game-changer. It ensures that your ideas don’t get lost in the whirlwind of inspiration—you’ll always know what to focus on next, without the overwhelm.

Try it. Strip away the chaos and step into intentional progress.
